Who we are

Phone Studio is a locally-owned phone, tablet and computer repair shop operating at 2 Glenabbey Dr, Unit 5, Courtice, Ontario, L1E 1B9 ("Phone Studio", "we", "us", "our"). For the purposes of Canadian privacy law, Phone Studio is the controller of the personal information described in this policy.

This policy explains what we collect, why we collect it, how we use and protect it, and what choices you have. It applies to information collected through our website at phonestudio.ca, our storefront, and any communications you have with us by phone, text, or email.

What information we collect

We collect only the information we need to provide the service you have asked for. The categories are:

Information you give us directly

  • Contact details: your name, phone number, and (optionally) email address, so we can reach you about your repair, quote or order.
  • Device information: make, model, IMEI / serial number, passcode (only if required to test the repair), described fault, and accessories left with the device.
  • Payment information: we accept cash, debit and credit. Card payments are processed by our payment provider (Moneris or Square); we do not store full card numbers on our systems.
  • Communications: the content of messages you send us by text, email, or our website form.

Information collected automatically when you visit the website

  • Standard server logs (IP address, browser type, pages requested, timestamps) used for security and basic analytics.
  • Usage analytics through Google Analytics (configured with IP-anonymisation) and a Meta (Facebook) advertising pixel, which we use to measure site performance and the reach of our advertising. These tools may involve cross-site tracking by those providers.
  • Strictly-necessary cookies to keep the site working, plus the analytics and advertising cookies set by the tools named above.

How we use your information

We use the information described above only for the purposes for which it was given to us:

  • To diagnose, quote and complete the repair you have asked for.
  • To contact you about your repair, to confirm receipt, share the quote, ask follow-up questions, or let you know when it's ready.
  • To process payment for parts, repairs and accessories.
  • To honour our 90-day repair warranty and handle any follow-up service.
  • To meet our record-keeping and tax obligations under Canadian law.
  • To improve our website and shop experience, using aggregate (non-identifying) usage data.

We will not use your information for any new purpose without first telling you and, where required, obtaining your consent.

Devices and the data on them

When you leave a device with us, the most sensitive information is the information on the device itself: your photos, messages, accounts, and files. We take this seriously.

  • If a passcode is required to complete and verify the repair, we will ask for it. You can decline, but in some cases that means we cannot complete the test step.
  • Where unlocking is not necessary (for example, simple screen-glass replacements that can be tested without unlocking), we will not ask.
  • For data-recovery jobs, where retrieving data is the entire purpose of the work, we extract only the data categories you have authorised. We do not copy that data to our own systems beyond what is required to perform the recovery, and any working copies are securely deleted once you confirm receipt.

Sharing and disclosure

We do not sell your personal information. We do not share it with marketers. We share information only in these limited situations:

  • Service providers: payment processors (to process card payments), email/SMS providers (to send you repair updates), and our accountants (for tax filing). Each is bound by their own confidentiality and data-handling obligations.
  • Parts suppliers: only in the rare case that a warranty claim against a specific part requires us to share the serial number or fault description with the supplier. We do not share your contact details with parts suppliers.
  • Legal obligations: where we are required to disclose information by Canadian law, a valid court order, or a law-enforcement request that we are legally compelled to comply with.
  • Sale of the business: if Phone Studio is sold or its assets transferred, customer information may be transferred as part of that sale, subject to the buyer agreeing to honour this policy.

Website cookies and analytics

Our website uses a small number of cookies:

  • Strictly necessary cookies that keep the site working (for example, remembering whether you have accepted a cookie notice).
  • Anonymous analytics through Google Analytics with IP-anonymisation enabled. This tells us which pages people read, on what kind of device, in aggregate. It does not identify you personally.

We use Google Analytics and a Meta (Facebook) advertising pixel; these may set analytics or advertising cookies and involve cross-site tracking by those providers. You can block all cookies in your browser without breaking the site.

How we protect your information

We use reasonable physical, administrative, and technical safeguards appropriate to the sensitivity of the information:

  • Customer details are kept in our repair-management system, accessible only to authorised technicians.
  • Paper intake tickets are stored securely on premises and shredded when no longer needed.
  • Devices left for repair are kept in a locked area when not on the bench.
  • Payments are handled by our PCI-compliant payment provider; we do not store full card details.

No system is perfectly secure. If we ever experienced a breach affecting your personal information, we would notify affected customers and the Office of the Privacy Commissioner of Canada in line with PIPEDA's breach-notification requirements.

How long we keep your information

We keep your information only as long as we have a reason to:

  • Repair records: kept for 2 years from the date of pickup, so we can honour the warranty and help with follow-up questions.
  • Invoices and payment records: kept for 7 years to meet Canadian tax record-keeping obligations.
  • Contact details for marketing (if you opt in): kept until you ask us to remove them.
  • Anonymous analytics data: kept on a rolling 26-month window.

Your rights

Under Canadian privacy law (PIPEDA), you have the right to:

  • Ask what personal information we hold about you.
  • Ask us to correct information that is inaccurate or out of date.
  • Withdraw consent to ongoing communications (subject to any legal requirements to retain records).
  • Make a complaint to us, or to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

To exercise any of these rights, just contact us, see Section 12. We aim to respond within 30 days.

Children

Our services are intended for adults. We do not knowingly collect personal information from anyone under 13. If you believe a child has provided us with personal information, please contact us and we will delete it.

Changes to this policy

We may update this policy from time to time, for example, when we add a new service or change a service provider. When we do, we will update the "Last updated" date at the top. Material changes will be highlighted on our website for a reasonable period.
